Our new Workflow Builder is here, and it’s beautiful. In this article, we’ll walk you through what the Workflow Builder enables, provide real-life examples (with visuals), and explain why we’ve dedicated the time to perfecting this core feature.

What is the Workflow Builder?

The Workflow Builder allows CSPs to create and manage workflows that automate essential processes like service provisioning, customer support, and network management—all through an intuitive drag-and-drop interface. Workflows are made up of a series of automated tasks or actions that work together to complete complex business processes.

With our visualization layer, anyone in your organization (with proper access, of course) can view your entire workflow graph and configuration in one place. This feature makes it easy for CSPs to understand the structure of their workflows, track task dependencies, and make informed decisions about adjustments or optimizations.

Real Life Workflow Examples

Rather than telling you about the workflow builder, we wanted to showcase a few practical examples that you can build and implement within gaiia. The following examples illustrate how automation can streamline common processes across your organization.

1. Service Delivery (Workflow Example)

Service Delivery: This workflow example begins when an address qualifies, creating a lead that converts to a pending account if the customer orders. gaiia then automatically assigns a work order, waits for completion, and handles any issues, such as delays or failures, by opening support tickets. Once the work order is successfully completed, gaiia activates billing, sends a welcome communication, and sets up a follow-up task for the customer success team.

2. Customer Suspension (Workflow Example)

Suspension: The workflow starts by fetching the internet subscriptions attached to the account and determining the type of service—whether it’s fixed wireless or fiber. If it’s fixed wireless, gaiia updates the service profile in Preseem to restrict internet access, while for fiber, it updates the ONT profile in Calix. Finally, gaiia sends an email and SMS to the customer notifying them of the suspension and providing a link for instant reactivation by paying the balance.

3. New Coverage Area Available - Vetro Sync (Workflow Example)

Pre-Order Management Workflow: Each week, gaiia syncs with Vetro to check for changes in the coverage area. If the coverage status changes or is scheduled to change within 14 days, gaiia identifies pre-orders in the affected area and retrieves their resume order URLs. gaiia then sends this list to Klaviyo, which triggers an email campaign with a template containing the resume URL, allowing customers to complete their order by providing appointment and payment details.
